Treasurer Job Description 

 

Primary Responsibility

To keep account of The Circle Dance Friends Co Ltd receipts and payments on behalf of the Directors (Guardian Angels).

Banking

The Treasurer

  • liaises with the Co-op Bank and informs them of changes to the list of Guardian Angels, using their mandate to change the authorised signatories to the account as and when applicable. As a result of the above, s/he changes the bank pass number and ensures the appropriate Guardian Angels are kept informed.
  • ensures the supply of cheque books, paying-in books and pre-paid envelopes to appropriate Guardian Angels.
  • issues cheques as required by the business of the Company and pay in receipts to the Bank – to collate information about receipts and payments made by other Guardian Angels and record these appropriately – to ensure this record matches the statements issued by the Bank.

Accounts

The Treasurer

  • prepares budgets at the beginning of each year with projected figures for Company income and expenditure.
  • supplies figures to the Company accountant for the preparation of the annual financial statements and Directors report. Copies of these have to be circulated to all Guardian Angels at least 21 days before the AGM at which they are presented for approval and signed by the Company Secretary and Chairperson. A copy must then be submitted to Companies House. Another copy must be sent to the Inland Revenue along with the Company tax return, which is prepared at the same time by the accountant and also signed at the AGM by the aforementioned Guardian Angels – the position of the Company with regard to Corporation tax can then be agreed. These submissions are legal requirements.
  • holds the accounting archive
  • is expected to attend Company meetings, or, if unable, to ensure updated figures of the Company’s accounts are reported.

The role of Treasurer is held for a minimum of two and a maximum of four years.
